When you want just a specific group of students to receive a message from Infinite Campus Messenger, you can create an ad hoc filter that includes only those students.
First, you will need to have the list of student ID’s associated with the students you want to send the message to. To create an ad hoc filter with multiple student IDs included, they need to be separated by a comma. To do this, we need to add a formula.
In Google Sheets or Excel, insert a column to the right of the column that contains student IDs. In the cell directly to the right of the first student ID, you will insert a concatenate formula. Type the following: =concatenate(A2,”,”)
The formula always starts with =concatenate(
A2 represents the cell that the student number is in. If your first student number is in a different cell, just click on it and it will insert the correct cell number for you
Then, add a comma – this now lets you add what you want to append to the student number
Add open quote, then a comma, and then close quote
Close the parenthesis and click enter
Once you click enter, the student number will show up with a comma after it. You can now drag down the formula or double click in the bottom right corner and the formula will copy down to the bottom.
Now, you should have a whole column of student numbers that have a comma after it. You will want to copy and paste all those student numbers with commas so you can enter them into an IC ad hoc filter.
Go to Infinite Campus and in the Index, go to Ad Hoc Reporting > Filter Designer
You will create a new ad hoc filter. Select Filter Type = Query Wizard and Data Type = Student. Then, click “Create”
You will start off in “Field Selection”. Name your filter so it’s easy for you to find when you create a message. Select the field under Student > Demographics > studentNumber. That field will now show in “Selected Fields”
Next, go to Filter Parameters. In the “Operator” field, select “IN”. In the Value field, this is where you will paste all the student IDs with commas after them that you created before. You can save it to your user account – only you can see these. Or, you can save to a User Group, where others who share that user group can also see and use the filter. Click Save.
You can now find this message in the ad hoc list in message builder and select it to send a message out to only a select group of students or student’s guardians.
