Teacher Moving Sites

Standard Operating Procedures

Why:  To give instructions to HR, RD, M&O, IT, and Warehouse staff for a consistent process which will minimize the impact to student learning.

What: To ensure efficiency, communication and execution of teacher moves from one classroom to another at a different school site.

When: Teacher is assigned to another classroom at a different school site.

Who: These procedures require the work and collaboration of HR, RD, M&O, IT, Warehouse staff and teacher to support successful teacher moves.

Goal 4:  Create safe and welcoming learning environments where students attend and are connected to their schools

4.1:  Refine the continuum of services to increase the consistency of school wide student behaviour expectations and outcomes

4.4:  Improve maintenance and cleaning of facilities through standard operating procedures and efficiencies

4.5: Increase the timely repair of district facilities, equipment and internet access to support the learning environment

How:

  1. HR tech will create the work order, to Warehouse to include:
    1. Site moving from and to, teacher name, classroom numbers for each teacher (including specialized teacher – SpEd or other)
  2. Warehouse will add assignment tickets attached to the WO for each department involved: M&O, IT, and RD.
    Additional assignment tickets can be added to the WO for other departments as necessary (plumbing, electrical, custodial, etc.)

  3. HR tech will contact the teacher to discuss the process. Additionally, HR will communicate with administrators/secretaries of each involved site.
  4. M&O conducts pre and post walkthroughs of the room-completed checksheet.
  5. Warehouse will provide the teacher with moving boxes and instructions for packing personal belongings and placing a label on boxes.  Knowledge Base instructions for teacher moves includes a sheet to record boxes and contents.
  6. Warehouse delivers moving materials to staff, delivers moving boxes and moves staff person to new site once site principal has verified that teacher items have been labeled and ready for move.
  7. IT will initiate their internal process for teacher moves, including tech equipment needed and active directory Gmail distribution groups.
  8. RD will initiate their internal process for teacher moves including IC changes and updates.
  9. Warehouse will execute the move. All new furniture brought to the room will be unpackaged and set up, with all debris, packing materials removed from the room.  NO CURRICULUM IS TO BE MOVED.

Once deemed ‘STUDENT READY’, principals will collect and re-issue keys.

Timeline:  The goal of completing teachers moves in existing buildings is 10 business days from the date the WO is submitted. Timeline may be affected during peak times (start of schools, etc.) or due to unknown conditions.
