Ed Center Mail Process SOP

Purpose: To ensure proper procedures for Ed Center’s mail process

Scope: All team members in the Ed Center who use the mail service

Guidelines:

  1. A new mail machine is located at the Front Desk
  2. The Front Desk Receptionist receives sorted incoming mail in the following categories:
    1. RD/Tech
    2. SLS- SPED SLS
    3. HR
    4. SSS
    5. Business Services
    6. All mail directed toward the Superintendent’s Office will be delivered to the department
  3. Department/Postage Code tags will be provided for you to attach to your outgoing mail
    1. Check the appropriate department on the tag for coding
  4. Attach your department tag to the outgoing mail with a rubber band
  5. Place tagged mail in the outgoing box located next to the mail machine for any mail which needs to go to the post office or interoffice mail
  6.  Courier will pick up mail at 3:00pm to bring back to the mail center (located in the Service Center) for postage
  7. If you have more than 50+ pieces of mail, please refer to “Mail Run/Daily Routine SOP”
  8. If you have mail that needs to go out the same day after 3:00 pm, you will need to apply the postage yourself and deliver to the post office
